At Vetra Forma, procurement is approached as an integral extension of the design process — ensuring every interior is delivered with aesthetic consistency, technical clarity, and operational precision.

Our procurement service offers significant advantages across design coordination, budgeting, sourcing, logistics, and installation, allowing each project to move seamlessly from concept through to completion.

While every project is tailored to its individual requirements, our procurement process generally follows the stages outlined below.

  • Every project begins with a detailed consultation undertaken in close collaboration with the client and all relevant stakeholders.

    At this stage, we establish the project vision, spatial requirements, operational objectives, and design direction, while developing a comprehensive Statement of Requirements outlining the project scope and deliverables.

    A Demarcation Document is also issued at the outset to clearly define responsibilities between the principal, contractors, consultants, and FF&E / OS&E procurement teams, ensuring clarity and alignment throughout the duration of the project.

  • Working alongside our network of consultants, contractors, specialists, and project collaborators, we develop detailed working budgets and projected cash-flow forecasts aligned with the overall project scope and timeline.

    Every specification, material selection, and procurement cost is carefully reviewed to ensure transparency, efficiency, and long-term value from the outset.

  • We source furniture, materials, lighting, and decorative objects internationally through our extensive network of specialist manufacturers, skilled artisans, antique dealers, galleries, and collectible design suppliers.

    With particular expertise in bespoke lighting and European collectible design, our procurement team carefully curates pieces selected for their craftsmanship, longevity, aesthetic integrity, and suitability to the wider project vision.

  • Flexibility is an essential part of any successful procurement strategy.

    Alternative sourcing options and substitute specifications are carefully prepared throughout the procurement process, allowing adjustments to timelines, operational requirements, or budgetary considerations without compromising the integrity of the design.

    To support collaborative decision-making, all stakeholders are provided with access to realistic cloud-based 3D visualisations and project documentation for ongoing review and approval.

  • Clear communication and financial transparency remain central to every stage of the procurement process.

    Our team utilises real-time cloud-based reporting systems, allowing clients and authorised stakeholders continuous visibility over procurement schedules, budgets, acquisitions, and project progress.

    Detailed financial coding, procurement records, invoices, specifications, and asset schedules are maintained throughout to ensure accuracy, accountability, and streamlined project coordination.

  • Once all specifications, substitutions, and approvals have been finalised, the tendering and purchasing phase formally begins.

    Our FF&E procurement team oversees the end-to-end acquisition process, including supplier negotiations, requests for pricing, purchase orders, scheduling, and procurement coordination.

    All procurement documentation — including quotations, invoices, purchase orders, and approvals — is securely maintained within our cloud-based project management system for real-time access by authorised parties.

  • Efficient logistics management is fundamental to the successful execution of any interior project.

    Working alongside a trusted network of international shippers, warehouse partners, and specialist handlers, we coordinate global freight, customs clearance, insurance, storage, delivery scheduling, and inventory management to ensure all items arrive safely, efficiently, and installation-ready.

    Every stage of the logistics process is carefully monitored to maintain complete visibility and operational control throughout the project lifecycle.

  • Installation marks the culmination of the design and procurement process, bringing together every element of the project into a fully realised interior environment.

    Working in coordination with contractors, consultants, and specialist installers, our team oversees the installation process with meticulous attention to detail, ensuring every specification is implemented precisely as intended.

    Final styling, adjustments, and presentation are completed in preparation for project reveal and client handover.

  • Upon completion, all relevant procurement documentation and project records are formally collated and issued to the client.

    This includes procurement schedules, invoices, warranties, technical manuals, maintenance documentation, health and safety records, and relevant supplier information to ensure the long-term care and management of all specified items and installations.
